What a CP12 landlord gas safety record is, and what it must contain

A CP12 is the landlord gas safety record of the annual gas safety check on each landlord-provided gas appliance and flue; regulation 36 lists nine items it must contain, and the tenant must receive it within 28 days of the check.

Last checked: 18 October 2026

What a CP12 is

A CP12, the landlord gas safety record, is the record of the annual gas safety check that the Gas Safety (Installation and Use) Regulations 1998 require on each landlord-provided gas appliance and flue.

"CP12" is an old CORGI form number. Gas Safe Register does not issue or approve templates: the law sets the content of the record, not the layout. Only a Gas Safe registered engineer may issue one, and Gas Safe Register is the sole legal UK registration body (it replaced CORGI in 2009).

What a CP12 must contain

Regulation 36(3)(c) of the 1998 Regulations sets out what the record must contain:

  • the date of the check;
  • the address of the premises;
  • the name and address of the landlord (or agent);
  • a description and the location of each appliance or flue checked;
  • any safety defect identified;
  • any remedial action taken;
  • confirmation that the check complies with regulation 36(9);
  • the name and signature of the person who did the check; and
  • the registration number of that person or their employer.

The record is kept until two further checks have been made, or for 2 years from the last check if the appliance or flue has been removed.

The text of regulation 36 is on legislation.gov.uk.

What the annual check covers, and what it does not

The annual check covers the landlord-provided appliances and flues. Installation pipework must also be maintained in a safe condition, but that is a separate duty and is not covered by the annual check.

Who gets the record, and when

The tenant receives the record within 28 days of the check. A new tenant gets a copy before they move in. For a stay of 28 days or less, the record may be prominently displayed instead.

What NexCert's CP12 captures

IGEM/UP/1B Edition 4, the standard for tightness testing and direct purging of small natural gas and LPG installations, has been mandatory since 1 October 2026. It sets the pressure-drop limits by the estimated installation volume (IV).

NexCert's CP12 has an Installation Volume (m³) field and a maximum permitted drop field in the tightness-test section, and both print on the certificate. Every value, including the result, is entered by the engineer. NexCert does not calculate the permitted drop or check the test against Edition 4.

There are also fields for your own Gas Safe registration number, at both company and individual engineer level.

Full detail: CP12 software. NexCert's gas warning notice is the CP14 Warning/Advice Notice, graded Immediately Dangerous (ID) or At Risk (AR).

General information about public law and standards, not advice on a specific installation or property. Which code, certificate or interval applies to a particular installation is for the qualified person who inspects it.

/ FAQ

Common questions

How often is a CP12 needed?

Every year. The Gas Safety (Installation and Use) Regulations 1998 require an annual gas safety check on each landlord-provided gas appliance and flue.

What must a CP12 contain?

Regulation 36(3)(c) lists nine items: the date of the check; the address of the premises; the name and address of the landlord or agent; a description and location of each appliance or flue checked; any safety defect identified; any remedial action taken; confirmation that the check complies with regulation 36(9); the name and signature of the person who did the check; and the registration number of that person or their employer. See the list above.

How long must the record be kept?

Until two further checks have been made, or for 2 years from the last check if the appliance or flue has been removed.

When must the tenant get the record?

Within 28 days of the check. A new tenant gets a copy before they move in. For a stay of 28 days or less, the record may be prominently displayed instead.

Who can issue a CP12?

Only a Gas Safe registered engineer. Gas Safe Register is the sole legal UK registration body (it replaced CORGI in 2009).

Does the annual check cover the pipework?

No. Installation pipework must be maintained in a safe condition, but that is a separate duty and is not covered by the annual check.

Is there an approved CP12 template?

No. "CP12" is an old CORGI form number. Gas Safe Register does not issue or approve templates; the law sets the content, not the layout.

Does NexCert work out the IGEM/UP/1B Edition 4 permitted pressure drop?

No. NexCert's CP12 has fields for the Installation Volume and the maximum permitted drop in the tightness-test section, and both print on the certificate. The engineer enters every value, including the result. NexCert does not calculate the permitted drop or validate the test.
