/ Portfolio compliance software
A single certificate answers one question about one property. Running a compliance programme across a portfolio is a different job: knowing what's due across every property you're responsible for, what's been done, what access was refused, what's still outstanding, and having evidence for all of it ready before a contract review, a scheme assessment, or a council enquiry. Most software in this space answers the first question. This page is about the second.
Housing associations and local-authority housing teams running EICR programmes across a portfolio. Letting and managing agents with statutory landlord duties across many properties. Electrical and gas contracting firms holding a housing-association, local-authority or managing-agent contract, where the client isn't asking for a certificate — they're asking for proof a programme was delivered.
The statutory duty doesn't change because a property sits in a portfolio of one or a portfolio of ten thousand. Under the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020, every fixed electrical installation needs an EICR at least every 5 years, a copy to the tenant within 28 days, and a copy to the local housing authority within 7 days of a request. Social housing lands on the same regime on a later timetable: new tenancies from 1 November 2025, existing tenancies from 1 May 2026, portfolios complete by 1 November 2026. Civil penalties for a local-authority-enforced breach run up to £40,000, raised from £30,000 by SI 2025/1043 (in force 1 November 2025). On the gas side, GSIUR 1998 requires an annual check on every landlord-provided appliance, flue and piece of pipework, with the record to the tenant within 28 days, carried out by a Gas Safe registered engineer.
What changes at portfolio scale is not the duty — it's the evidence problem. The duty holder needs one place that shows the whole programme's state, not a filing cabinet of individual certificates.
This describes the regulation as public law. It is general information, not a compliance assessment of any specific property or programme.
Electrical safety duties on social housing changed across 2025 and 2026 — see social housing electrical safety 2026 for the dates and duties that apply to a registered provider.
NexCert issues the certificate at the property level exactly as any single-property tool would — the engineer captures the EICR, CP12 or any of the other twelve shipped certificate types on a phone or tablet, on site, offline-capable. What's different is what happens above that: sign-off happens remotely, from a desktop, so a qualifying supervisor isn't the bottleneck on getting a portfolio's worth of certificates out the door. Every certificate carries an audit trail — what was inspected, by whom, what was found, when it was signed off — built in rather than assembled afterwards for a specific enquiry. The same workspace handles electrical and gas certification side by side, on the same rails, so a portfolio that needs both isn't running two separate tools with two separate records systems. See how the same approach works for a single property on the Same rails, 10 certs or 10,000 section and the remote QS sign-off section.
There are fields for your own NICEIC, NAPIT, SELECT or Gas Safe registration number, at both company and individual engineer level, on every certificate NexCert issues.
NexCert Electrical unlocks the electrical, fire and ventilation certificate families (10 certificate types); NexCert Gas unlocks the gas family (5 certificate types). NexCert Complete combines both in one workspace at a discount against buying the two lines separately — relevant for a portfolio running both electrical and gas programmes rather than one.
/ FAQ
No. The EICR interval, the 28-day and 7-day notice periods, and the annual gas safety check apply per property regardless of portfolio size. What a portfolio needs on top of that is visibility across every property at once and evidence it can produce on request — that's what this page is about, not a different legal standard.
This page describes what NexCert issues and evidences at the certificate level and how sign-off and audit trail work across a workspace.
No. It removes the travel and the waiting around sign-off, not the judgement — the supervisor still reviews and signs.
